Business Assistant / Operations Coordinator
Seeking a Business Assistant to work directly with the CEO, focusing on task transparency and execution control. Key role at the intersection of operations and execution, helping to build task management systems and synchronize teams. Based in Limassol, Cyprus, with a hybrid work format.
We are looking for a Business Assistant who will work directly with the CEO and be responsible for the transparency and control of task execution throughout the company. This is a key role at the intersection of operations and execution: you will help build a task management system, synchronize teams, and ensure that all key initiatives are brought to fruition on time. The role is not about classic administrative support - the focus is on control, coordination, and process efficiency. Main tasks: ️Company-level task management: - Maintaining a unified task tracking system (ClickUp) - Structuring tasks, initiatives, and projects - Setting priorities together with the CEO and teams - Ensuring transparency on all active tasks ️Execution control: - Tracking deadlines and statuses of tasks across all departments - Regular follow-ups with responsible parties - Escalation of risks, blockers, and delays - Control of task completion to the final result ️Coordination and communication: - Synchronization between teams and departments - Liaison between the CEO and the entire company - Preparation of regular status updates and summaries - Participation in internal meetings and recording agreements Business Assistant (personal support for CEO): - Managing the CEO's calendar, organizing meetings and syncs - Coordinating external and internal communications - Preparing materials, presentations, and reports for meetings - Assisting in organizing trips and work events - Collecting and structuring information upon CEO's request ️Process optimization: - Improving approaches to task management and prioritization - Implementing best practices for execution and control - Increasing the operational efficiency of teams
Experience in Operations / Project Coordinator / Business Assistant role for 2+ years - Strong task management and systems thinking skills - Ability to work with a large number of tasks and maintain focus - Experience in execution control and working with deadlines - Communication skills with various stakeholders - Experience with task management tools (ClickUp, Jira, etc.) - English B2+ Will be a plus: - Experience in building processes from scratch - Experience in startups or fast-growing companies - Understanding of product or operational processes
